What personal data do we collect, and why do we collect it
LPCSG Data Protection Policy
As required by the General Data Protection Regulations of May 2018, the following is the Leeds Prostate Cancer Support Group (LPCSG) policy. It outlines why we need your personal information, what we do with it, how we share it, how long we keep it and how we keep it secure.
Why do we need your personal information?
We need to collect certain personal information from you to enable us to:
- Administer the membership database effectively
- Send out details of meetings and other relevant information
- Create a mailing list to disseminate information to our membership
Who do we hold personal information about
We only hold personal information about our members.
The information held is name/ address/ email address and telephone numbers. In addition, if you have volunteered the information, we may keep details relating to the treatment you have undergone. Whether you would like to be a contact for others on that treatment, we would only do this if you have given us express permission to do so (on a case-by-case basis).
Who do we share the information with?
Your information is not shared with any other 3rd party.
How long do we hold the information for?
Your information is held on a database that retains the previous four years and the current year’s data.
How do we keep your information safe?
All information is encrypted on a computer database, which is only administered by the Committee members. It is regularly backed up in an encrypted format to an external device.
Rights of Individuals
You have the right to see a copy of the information held about you and have it corrected if it is wrong. To exercise your right, contact a member of the committee.
Removal of your information
You can request that any of your information be removed by selecting the unsubscribe link in the emails or tick the unsubscribe box on the printed letter and return it to us.
Comments
When visitors leave comments on the site, we collect the data shown in the comments form and the visitor’s IP address and browser user agent string to help with spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/.
Cookies
If you leave a comment on our site, you may opt to save your name, email address, and website in cookies. These are for your convenience, so you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you have an account and log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can automatically recognise and approve any follow-up comments instead of holding them in a moderation queue.
For users who register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights do you have over your data?
If you have an account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we must keep for administrative, legal, or security purposes.
